By signing or submitting this Agreement, Client agrees to be bound by the following terms:
Booking & Payments
Retainer: A 50% non-refundable, non-transferable Save-the-Date fee is due upon execution of this Agreement. The event date is not reserved until the fee is received and cleared. Weddings by Stephanie may void the Agreement if the signed contract and fee are not received at least 30 days prior to the event.
Balance: Full balance is due no later than thirty (30) days before the event We accept major Credit Cards, Venmo, and CashApp for your convenience. Returned payments incur a $35 fee, payable immediately in cash.
Final Detail Submission Deadline: To ensure a flawless execution of the wedding day, all final logistics must be locked in a minimum of fourteen (14) days prior to the wedding date. This includes the final guest count, finalized seating charts/floor plans, vendor arrival times, and the completed reception itinerary. Any major structural or timeline changes requested within seven (7) days of the wedding date are subject to an administrative fee of $100 and will only be implemented at the sole discretion of the Coordinator based on feasibility.
Vendor Meals: The Client agrees to provide one hot, sit-down meal for the Weddings by Stephanie lead coordinator and one hot, sit-down meal for each scheduled assistant for any event lasting five (5) hours or longer. These meals must be served at the same time the wedding guests are served to ensure the coordination team is finished eating and ready to manage the timeline before the reception events resume. The Client is responsible for including these meals in their final catering count.
Holiday Services: Services on or near holidays/holiday weekends (e.g., Valentine’s Day, Easter, Memorial Day, July 4th, Labor Day, Thanksgiving, Christmas, New Year’s) may incur an increased rate at Planner’s discretion.
Cancellations & Changes
Cancellation: If Client cancels with less than 30 days written notice, Client is responsible for 100% of the contracted price. All prior payments (including the retainer) will be credited toward this amount. Failure to notify or breach of contract makes Client liable for the full amount plus any collection costs, damages, and reasonable attorney’s fees.
Date Change: Requests for a date change require written notice and are subject to Planner’s availability. A $100 date change fee applies. If the new date is unavailable, Client must accept the original date or it will be treated as a breach of contract.
Force Majeure: Neither party shall be held liable or responsible for any delay or failure in performance under this Agreement resulting from acts beyond their reasonable control. These events include, but are not limited to: acts of God, hurricanes, tropical storms, severe floods, mandatory government evacuations, pandemics, epidemics, government-ordered shutdowns, labor strikes, civil unrest, or sudden venue closures/condemnations. In the event of cancellation due to a Force Majeure event, the initial fifty percent (50%) Save-the-Date retainer remains strictly non-refundable. However, at the Coordinator's sole discretion, all paid funds may be transferred and applied toward a rescheduled event date, provided the new date falls within twelve (12) months of the original date and is subject to Coordinator's the availability.
Late Fees & Conduct
Late Fees: A late fee applies for every 15 minutes Client is late to a scheduled appointment or if the meeting runs over due to Client delays. Payment is due immediately in cash. Services will not resume until paid. Weddings by Stephanie may refuse service and terminate the contract without refund for repeated delays.
Objectionable Behavior: Weddings by Stephanie reserves the right to terminate services immediately (without refund) for rude, obnoxious, or inappropriate behavior by Client, wedding party, family, or guests. Client remains liable for 100% of the contracted price.
Safe Working Environment & Harassment: Weddings by Stephanie is committed to providing a safe, respectful, and hazard-free working environment for its lead coordinator and all assistants. The Client is responsible for the conduct of their wedding party, family members, guests, and other hired vendors. Weddings by Stephanie maintains a zero-tolerance policy for verbal abuse, physical threats, discrimination, or sexual harassment of any kind. If an unsafe or abusive situation arises, the Coordinator will notify the Client or venue management to immediately rectify the issue. If the behavior continues or the environment remains unsafe, Weddings by Stephanie reserves the right to leave the premises immediately and terminate all remaining services without refund. The Client will remain liable for one hundred percent (100%) of the contracted price.
Scope & Limitations
Assumed Duties: Only Weddings by Stephanie and approved Assistant(s) may perform contracted services. Any unauthorized person attempting to take over duties constitutes a breach of contract.
Vendor Responsibility: Weddings by Stephanie strives to recommend quality vendors but does not guarantee their performance or products and is not liable for their actions or failures.
Vendor Information & Communication: The Client must provide a complete list of all hired vendors, including business names, contact persons, phone numbers, and copies of vendor contracts or setup requirements, no later than thirty (30) days prior to the wedding date. Weddings by Stephanie will assume the role of primary point of contact for vendor confirmation, load-in coordination, and master timeline distribution starting fourteen (14) days prior to the event. Weddings by Stephanie is not responsible for managing or troubleshooting logistics for any vendor whose information was not provided before this deadline.
Limitation of Liability: Weddings by Stephanie is not liable for omissions, failures, or damages caused by events beyond its reasonable control (force majeure). In case of Weddings by Stephanie incapacity, a qualified replacement will be provided when possible.
Inclement Weather & Weather Calls: For any outdoor ceremony, cocktail hour, or reception elements, the Client must establish a viable "Plan B" indoor or covered backup location. In the event of severe weather, high winds, or a rain forecast exceeding forty percent (40%), Weddings by Stephanie reserves the right to require the backup plan be used to protect the safety of our staff, guests, and setup equipment. Weddings by Stephanie is not liable for any delays, logistical changes, or inability to set up specific outdoor decor elements resulting from weather-related adjustments.
No Warranties: No express or implied warranties are provided. Weddings by Stephanie is not liable for direct or consequential damages.
Additional Fees: Client is responsible for any extra costs including mileage, lodging, early/late fees, parking, valet, and gratuities.
Indemnification: Client agrees to indemnify and hold harmless Weddings by Stephanie, its personnel, and equipment for any loss or damage caused by anyone other than Weddings by Stephanie or Assistant(s).
Image & Marketing Rights: Client grants Weddings by Stephanie and its team permission to photograph, record, and use images and video of the event for advertising and promotional purposes in all media. Client waives any rights to compensation or approval.
Non-Disparagement: Client agrees not to post false or disparaging comments about Weddings by Stephanie or services on any online platform. Violation may result in legal action and Client will be responsible for all damages and attorney fees.
Dispute Resolution: Any disputes shall first go through mediation. If unresolved, legal action may follow in the state and county of Weddings by Stephanie’s residence (Stephanie Mazzeo). The prevailing party is entitled to recover reasonable attorney’s fees and costs.
General Provisions
This Agreement constitutes the entire understanding between the parties.
Changes must be made in a signed addendum.
If any provision is found invalid, the remaining provisions remain in full effect.
Client represents they are at least 18 years old and have read, understood, and agree to all terms.
Submission of this Agreement (with or without signature) creates a legally binding contract.
Client acknowledges they have read and accept these terms, including the risks, and have received no guarantees or warranties regarding the services.
